Administrative Positions

The Finance Director serves as a full charge bookkeeper, as well as collaborates with the Executive Director on financial planning, and strategizing. This person also works closely with the Development Director to provide necessary financial support for grant and fundraising efforts. This position serves as an active member of the Finance Committee and receives support from other members on this team, including members of the Board of Directors. Experience working in a financial role in healthcare is a must, and experience in nonprofit accounting would be highly beneficial.

LOCATION: Based in our Canby, Oregon Office.
COMPENSATION: $90,000 – $95,000/Annually DOE.

Qualifications:

  • Bachelor’s degree in Business, Finance, Accounting, or related field or equivalent experience.

  • GAAP accounting for non-profits preferred.
  • Proficiency with tech platforms including Quickbooks Online, Google programs (docs, forms, calendar, etc), Zoom, and Microsoft Office.

  • Knowledge of medical billing and insurance; knowledge of ICD-10 codes and CPT coding for OT/PT/SLP, mental health therapy, and alternative care preferred.

Responsibilities:

  • Maintain all aspects of the General Ledger System using QuickBooks Online, including processing all payments and deposits, completing all related reconciliations, and uploading invoices and receipts necessary to maintain accurate accounting records.
  • Complete all aspects of payroll in the payroll system, including posting to QuickBooks Online and reconciling all related payroll accounts.
  • Track and complete employee and employer contributions to the Simple IRA plan monthly. Guide the transition from a simple IRA to a 401k plan in 2025.
  • Create journal entries for all accounts, including fixed assets.
  • Monitor cash flow, bank accounts, and other financial transactions.
  • Process refunds for patients and insurance companies, as advised by the Billing and Insurance Manager.
  • Process write-offs as appropriate.
  • Ensure adherence to financial and accounting laws, rules, and best practices, including conformance to GAAP.
  • Monitor cash flow, compare monthly expenses to the budget, and communicate with Executive Director on spending trends.
  • Work with the lead billing specialists to track the Aging Report, establish goals, and ensure follow through on collections.
  • Create the annual organizational budget with support from program Directors, and present the budget and annual hiring plan to the Board of Directors.
  • Prepare monthly financial reports for the Executive Director, including those needed for the Finance Committee and Board of Directors meetings. Attend the Finance Committee meeting every other month.
  • Review staffing needs with ED to determine areas of over- or under-staffing as programs change or grow.
  • Track client visits with the support of the Lead Billing Specialist and analyze trends and productivity to create projections for hiring and program expansion.
  • Assist the Executive Director and Development Director with any financial information needed for grant applications and reporting.
  • Work with Billing and Insurance Manager to update the Sliding Scale Fee Schedule annually in accordance with the current Federal Poverty Level.
  • Coordinate with the Executive Director and Board of Directors on capital projects.
  • Supervise insurance and billing departments.
  • Attend monthly Leadership Team meetings.
  • Gather all information for the year-end 990 form and submit it to the accountant in a timely manner. Provide year-end reports as needed for taxes including program allocations, donations etc.
  • Ensure all quarterly 941 forms are filed in a timely manner.
  • Gather purchase information from all clinics for annual property tax reporting for each county and prepare property tax returns.
  • Prepare unclaimed property reports for Oregon State Treasury.
  • Manage historical financial records.
  • Follow all financial policies currently in place, and work with Directors to draft additional policies as needed.
  • Lead the financial audit bi-annually.
  • All other assigned duties.

Our Billing and Insurance department is a dynamic staff of team players! We are looking for a dedicated individual to join this team as the lead medical billing specialist. You will oversee the entire claim revenue cycle. This includes creating, preparing and processing all insurance claims and patient bills and payments to Neurotherapeutics, as well as overseeing the billing department and it’s staff.

Responsibilities:

  • Prepare, review, and transmit claims using billing software including electronic and paper claim for Medicaid and private insurance companies.
  • Manage all accounts receivable with strong attention to detail, post patient and insurance payments to the accounts and created bank deposits.
  • Answer all patient or insurance telephone inquiries pertaining to assigned accounts.
  • Create patient statements, set up payment plans and work with clients to resolve payment issues
  • Submit and manage collections accounts, write past due correspondence to families.
  • Follow up on unpaid claims, file claim appeals, write appeal letters and reprocessed incorrectly paid claims within the required timeframe.
  • Resolve complaints promptly and professionally.

About the Job

Neurotherapeutics Pediatric Therapies is currently seeking licensed mental health therapists and unlicensed mental health associates (LMFT and LMFT-Associates, LPC and LPC-Associates, and LCSW with systemic training preferred- we are not currently set up to take on CSWA’s) to join our team. Must have experience or a passion for working with kids and their families, most importantly, kids with autism and other childhood special needs. We also work with many foster/adoptive families.

With a focus on holistic client care, the Licensed/Unlicensed Associate Mental Health Therapist must apply a multidisciplinary approach to promote optimum outcomes in the prevention, diagnosis, and treatment of mental health clients. This position is accountable to the Mental Health Therapy Director/Clinical Supervisor in matters of clinical compliance for mental health under the requirement of her/his licensing board in accordance with Federal and Oregon state regulations. Appointments are mostly in-person sessions with the opportunity for some telehealth services.

Duties and Responsibilities

  • Provide individual, family, parent, couples, and group therapy utilizing evidence-based treatments.
  • Providing in-person services (required) and telehealth experience is a must.
  • Conduct assessments and develop measurable, time-limited treatment plans.
  • Advocate for individuals by coordinating client care with outside agencies to increase consistency between the home and community.
  • Maintain appropriate documentation of session content, interventions, and treatment.
  • Manage confidential clinical records and perform related clinical responsibilities such as case records management.
  • Licensed Therapists to obtain consultation twice quarterly; Unlicensed Associates to obtain supervision 2-3x/month (based on client hours per month) via Clinical Supervisor.
  • Other duties as assigned.

Qualifications

  • Master’s degree in Psychology, Counseling, Social Work, or a mental health-related field (QMHP) required; Licensed or Registered as an Associate through OBLPCT is required (MHACBO ok for Unlicensed therapists)
  • At least 1 (unlicensed) to 3 years (licensed) of experience in a broad range of clinical interventions and mental health assessments specific to children, adolescents, and families;
  • Demonstrated ability to conduct a mental health assessment, including identifying precipitating events, gathering histories of mental and physical health, alcohol and other drug use, past mental health services, assessing family, social, and working relationships, and conducting a mental status examination; complete Diagnostic Criteria for a DSM-V-TR/ICD-10 diagnosis; write and supervise the implementation of a Treatment Plan; and provide individual, family and/or group therapy within the scope of their training.
  • Demonstrated ability to provide culturally-competent treatment services to diverse client populations and maintain cooperative working relationships with others in a culturally diverse environment.
  • Demonstrated knowledge of treatment methods for individual, family, and group therapy to address mental health needs.
  • Demonstrated ability to provide case management services in accordance with federal, state, and/or funding source requirements as well as Neurotherapeutic Pediatric Therapies’ policies and procedures.
  • Knowledge of community resources and treatment agencies enabling appropriate referrals for specific client needs.
  • Knowledge of medications commonly used by the client population.
  • Proficient in Microsoft and Word. Ability to master proprietary software including electronic health record system required.
  • Strong organizational/time management skills; ability to work effectively independently and as part of a team.
  • Excellent verbal and written communication skills demonstrated by the ability to communicate effectively and relate congenially with parents, children, clinic staff, providers, and community referral representatives.
  • Proven understanding of standards and practices governing client confidentiality; demonstrated ability to preserve client confidentiality.
